The Administrative Coordinator will provide a broad range of divisional administrative support in our human resources department. The Administrative Coordinator will provide exceptional customer service to the recruiters, hiring managers, employees and candidates. This position will respond appropriately through phone or email, coordinate/schedule new hire orientations, verify I-9's, verify and maintain pre-employment customer specific document requirement tracking to ensure data integrity and compliance and maintain the highest level of confidentiality. Additional duties include generating weekly & monthly reports, accurately prepare and process HR transactions (new hire/termination; benefit related; employment related paperwork), enter data and maintain HR employee information system, and assist with audits. This position will serve as a resource for company policies utilizing good judgment, discretion, confidentiality and professionalism when responding to benefits, payroll and other employee inquiries. This position will perform other miscellaneous duties as required in support of the division's Human Resources Department. This is an entry level (hourly) position. Wage rate range is $15.00 - $16.00/hour commensurate with experience, background and skills.

We are looking for a candidate that is eager to learn, easily adapts to all work environments, is able to work calmly under pressure, has exceptional customer service, has a keen attention to detail, is proficient with computer applications and will provide direct support to the Regional Human Resources Manager. Our department is a very fast paced, busy and at times can be stressful. However, the department does survive on the humor and fun that we incorporate. We are a very close team and practice consistent, open communication.

The hours are 7:30am to 5pm Mondays, 8am to 4:30pm Tuesday through Thursday and 8am to 3:30pm Fridays (required to meet our customers' demands).


  • Provide administrative support to high volume division on the full life-cycle of human resources processes
  • Screen and handle new hire candidates calls and correspondences as requested
  • Schedule candidates for new hire orientation, prepare new hire packets, disposition candidates and ensure collection of pre-employment documents for compliance
  • Accurately prepare and process all HR transaction paperwork
  • Coordinate and process new employee orientation materials, new hire paperwork, employee benefit packages, employee termination paperwork, etc.
  • Maintain pre-employment requirements tracking to ensure data integrity and compliance
  • Verify I-9's and assist with E-Verify process
  • Maintain employee records and files
  • Assist with preparation and maintain HR measurement reports
  • Generate weekly and monthly reports
  • Assist with audits
  • Enter employee data and maintain HR Information System records and compile reports from database as needed
  • Perform other miscellaneous duties as required in support of the division's Human Resources department
  • Assist Regional HR Manager with employee event and recognition responsibilities
  • Promote cooperation and teamwork among staff
  • Respond to all internal or external human resources related inquiries such as paycheck questions, benefits, onboarding, policies and procedures, etc.
  • Partner with the recruiters for collection and retention of pre-employment-related documents
  • Identifies opportunities for process improvements and partners with appropriate teams such as peers, supervisors, managers and Recruiting Operations, etc. to implement change(s)


  • Customer service and general office experience required
  • Minimum of 2 years of successful professional/administrative experience
  • Prior experience working within a corporate and/or divisional team preferred
  • Must be quality-focused with the ability to meet tight deadlines, handle multiple projects and prioritize them appropriately
  • Must be a detail and customer-oriented team player with excellent organizational and follow-up skills
  • Strong verbal and written communication skills are required
  • Ability to read and interpret documents (policies and manuals), ability to write routine reports and correspondence
  • Ability to speak effectively before groups of internal and external customers
  • Ability to add, subtract, multiply and divide in all units of measure using whole numbers, common fractions and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations
  • Proven ability to build and maintain positive working relationships with multiple stakeholders such as Recruiters, Hiring Managers, Regional HR Manager and candidates
  • Strong work ethic and sense of urgency while maintaining composure under stressful situations
  • Demonstrated proficiency with MS Office Suite (Word, Excel, Powerpoint) and other internal applications
  • Must be highly proficient with database systems
